Understanding Malware & How PCI Compliance Aids in Prevention

Posted on Thu, Jul 17 2014 @ 01:28 PM

What is Malware?

Many people believe that malware is used to hack a computer system, but this in inaccurate.  Malware is a tool that hackers use to steal data from a system that has already been compromised.  In other words, the system has to be hacked first, then malware is installed and data from that system is collected and removed.

pci compliance

When a system is compromised, hackers typically get in through a security misconfiguration or by exploiting a securty bug in an application installed on the system. This is why it's important to stay current on security updates and patches for all software that you run on your system.

Malware comes in several forms:

  1. It can be installed on a payment server to collect cardholder data
  2. It can be run as a piece of software that crawls files on the system to detect, locate, and steal card holder data
  3. It can capture keystrokes from computer keyboard or register and capture account numbers

There are several tools available that can prevent and detect malware, including local anti-virus and anti-malware programs, file integrity monitoring (FIM), and outbound internet filtering.

File integrity monitoring tools, do just that ... they monitor sensitive systems and look for irregularities and changes. This could signify a system breach or a malware install and action can immediately be taken.

Outbound internet filtering has to do with firewalls and proxies that can be setup on systems to monitor activity between the system and Internet. Merchant use outbound internet filtering to restrict access to only authorized sites.

Anti-Virus and Anti-Malware programs scan the local system looking for suspicious downloads, trojans, and other malware that may have been injected on the system. It important to have these tools installed on every system and to run virus definition updates daily.

How PCI Compliance Fits In

Merchants who are PCI Compliant have layered security controls to prevent, detect, and react to breaches. PCI Compliance is not optional for merchants ... it's a requirement for all businesses who accept credit cards. Failure to meet the requirements can be catastrophic for business owners if they ever fall victim to a breach on their system.

The standards are set by PCI Security Standard Council. The council is an open global forum, launched in 2006, responsible for the development, management, education, and awareness of the PCI Security Standards, including the Data Security Standard (PCI DSS), Payment Application Data Security Standard (PA-DSS), and PIN Transaction Security (PTS) requirements.

Their website is extensive and has more information than you could ever want to know about becoming PCI Compliant and maintaining the standard. Full PCI requirements are detailed and outlined here: https://www.pcisecuritystandards.org/

Granted, most merchants who read through these requirements have their eyes crossed within minutes. It can be complicated, but it's essential that you don't ignore it.

At Novera Payment Solutions we work hard to take to take the headache out of PCI Compliance for you.  Give us a call ... not only will we save you money over your current credit card processing solution with our flat fee merchant account, but we will guide you through PCI Compliance maze and make it simple to get up and running!

15 Time Saving QuickBooks Tips

Posted on Mon, Jun 30 2014 @ 10:48 AM

QuickBooks is by far the most popular business accounting software for companies small and large across the USA, claiming nearly 95% of the business accounting market with over 3.7 million users. With that many users, there are thousands of tips out there to help companies save time and be more efficient when using the software.

Here are 15 of our favorite QuickBooks tips!

1. Know essential, basic keyboard shortcuts.

Rather than taking 2-3 clicks to get to a screen to perform a common task, QuickBooks keyboard shortcuts enable you to access screen in QuickBooks with a simple combination keypress. Here are a few of the essntial basic shortcuts.

CTRL-I = Create Invoice
CTRL-N = New invoice, check or bill
CTRL-F = Find Transaction
CTRL-W = Write a New Check
CTRL-A = Brings up Chart of Accounts

QuickBooks Shortcuts & Tips

2. Memorize Recurring Transactions

If you have a transaction that you frequently enter (e.g. recurring bills), you can save time by memorizing the transaction for future use. If you use the transaction on a regular basis (for example, monthly), you can set it up as a recurring transaction when you memorize it. Otherwise, you can use it as needed by entering it from the Memorized Transaction list.

3. Make use of customer notes.

Using the customer notes feature in your client records save you time. Collections calls can be notated, special client requests, and any other communication. Having this information in a central location is invaluable.

4. Make use of the built in field calculator

Simply position your cursor in an amount field, enter a number or highlight the whole number, and simply press a calculating key ( +, -, *, / , %). It's like magic!

5. Make use of the QuickBooks File Manager

The file manager organizes client’s QuickBooks files by type, by year and version. The Password Vault also secures login information, user names and passwords.

6. Use colors to identify accounts easily

If you using more than one checking account, you can change the background color for quick identification of which account you are using. Simply spen the register for a checking account and click "Edit" on the menu, then and select "Change Account Color."

7. Work in multiple windows

Be super productive by using several open windows at once. You can quickly and easily navigate between them by displaying a list of them. Click "View" in the menu, then click "Open Window List."

8. Set QuickBooks to automatically place decimal points

You can save time on data entry by setting QuickBooks to automatically place a floating decimal point when you enter a number. Click "Edit" in the menu, then "Preferences". Select "General", then "My Preferences".  Then check "Automatically place decimal point". Now if you enter 49, it will enter as .49. If you enter 3295, it will enter as 32.95. With this setting enabled, obviously you need to pay special attention to ensure if mean to enter $49, you enter 4900.

9. Use Batch Invoicing

Create invoices in a batch can save you a lot of time, if it makes sense your company. For example, a subscription based service may need to invoice 100 customer $9.95 each month. Using the batch invoicing feature, you can do this all in one step. Go to the "Customers" menu, then select "Create Batch Invoices."

10. Prepare letters and envelopes for mailing

QuickBooks has a "Prepare Letters and Envelopes" tool offers an a good selection of templates and mail-merge capabilities. This enables you to generate custom letters for customers, vendors, and employees right from QuickBooks.

11. Use "Ask My Accountant"

If you not 100% certain how a transaction should be coded, put it in "Ask My Accountant." You can temporarily house transactions here if they need to be researched, or if you truly need to have your accountant review for proper classification. Set this account up as an "Other Expense" classification so it shows in the Profit & Loss statement.

12. Backup QuickBooks

Always, always, always backup your QuickBooks data file to the cloud. External hard drives or thumb drives are ok, but they can get lost or damaged. Try using DropBox or Google Drive. How is this a time saver? If you've ever had to rebuild a QuickBooks data file, you know!

13. Personalize Your QuickBooks Icon Bar

Every business is unique. At the top of your screen, QuickBooks has an icon bar that gives you quick access to a variety of tasks. You can edit the default icons in this tool bar. Add or remove icons to suit the needs of YOUR small business.

14. Use the right-click feature for quick access

From within various QuickBooks screens, you can right-click your mouse to get quick access to relevant menus. It can definitely be quicker to access a feature you need by right-clicking to bring up the menu, than to use the toolbar and main QuickBooks menu.

15. Expand functionality with QuickBooks Add Ons

One of our personal favorite add-ons is for credit card payment processing. Novera Payment Solutions' InstantAccept or QBPlugin, provides integration for QuickBooks® payment processing for credit and debit cards, ACH (Automated Clearing House), EFT (Electronic Funds Transfer), and Electronic Check conversion using a powerful and secure Payment Gateway and Secure Vault Software. Process credit cards and checks for invoices seamlessly in QuickBooks®.

Our QuickBooks® online credit card processing is easy to use and is up and running within minutes. It is guaranteed compatibility for automated integration within QuickBooks®, so no longer is the need to ever use old outdated, unreliable, standalone credit card terminals.  If your business  has  customers present to make a payment, then a simple USB mag-swipe reader can be attached in seconds for “card swiped” transactions.

In addition to an easy to use turnkey solution for QuickBooks® users, Novera Payment Solutions has also developed a simple, transparent pricing model utilizing a “FLAT FIXED FEE” for merchant services. This saves a TREMENDOUS amount money over the built-in Intuit payment processing offered by QuickBooks!

8 Tips to Create a Secure Password for Your Merchant Account & Others

Posted on Mon, Jun 30 2014 @ 10:45 AM

As a business owner who accepts credit cards, it's imperative that you not only protect customer credit card numbers, but you also must protect all sensitive information around their accounts and transactions. PCI Compliance can be complex, and we've written several blog posts about it. We'll address it more in future posts.

This article focuses on the most basic security step you need to take in protecting sensitive information for your customers and your business ... creating  secure passwords.

pci compliance

Here are 8 tips for making your passwords more secure

1. Use a combination of lowercase and uppercase letters, numbers and symbols

Hacking software uses a brute force attack process by running all possible combinations of letters, numbers, and symbols (typically at around 6 million passwords per second). Using a combination of all four (including upper and lower case characters) makes your passwords far more complex because it increases the number possibilities per digit exponentially.

2. Make sure the password is long enough

According to several security sites online, a 5 or 6 character password can be cracked by hacking software in under 3 minutes. Step it up to 7 characters and it takes about 1 week, get to 9 characters and it's over 70 years! Are you feeling the sudden urge to go change your passwords now?

3. Avoid common passwords

While it may be obvious that you shouldn't do it, people do it any way. AVOID the most commonly used passwords. According to CBS News, these are the top ten common passwords from 2013.

1.  123456

2.  password

3.  12345678

4.  qwerty

5.  abc123

6.  123456789

7.  111111

8.  1234567

9.  iloveyou

10.  adobe123

Get the full top 25 here!

4. Change your passwords regularly

You should change your passwords every 4-6 months. And DO NOT recycle passwords. For exmaple, if you use one password for your bank account now and change it in 6 months, don't reuse that password on your QuickBooks login down the road. If you do, it leaves your accounts vulnerable to hackers.

5. Use a different password for EVERY account

Are you guilty of using the same password for every online account you have?  Stop!  The danger here is if ONE of your accounts gets compromised, they can all be compromised.  It's a hassle to use different passwords for sure, but if your business and personal financial accounts are breached, it quickly becomes more than a hassle.  If client data is breached, it can be catastrophic.

6. Use a password generator

It can be difficult to think of complex passwords, so use a password generator to assist if you need to! It will create a random complex password with the right combination of numbers, symbols, upper and lowercase letters. Norton has free password generator anyone can use ... and it's a trusted site.
https://identitysafe.norton.com/password-generator

7. Do not share your passwords

Password ".txt" files, note pads with password lists, and post-it notes stuck to your monitor are not secure. If you must share a password with someone, NEVER email it to them.  Email is not secure. Be certain you change your password after they have used your account and are done with their work. Even though the person you are sharing the password with may be trustworthy, the system they are logging in from could easily be infected with a virus or malware that can steal information and you would never know it until it is too late.

8. Consider using a password manager

It's no secret that changing your passwords every six months, not recycling them, having at least 9 characters with a combination of upper and lower case letters, number & symbols, and not writing it down on a post-it or recording it in a notebook makes it virtually impossible to manage and remember. Fortunately, there are solutions out there to assist you. They are called password managers. There are several on the market available at a variety of price points. Just google "password manager"  and you'll have plenty of options to choose from.

We all fall victim to creating simple, easy to remember passwords, but it's a dangerous practice. Security breaches don't just happen to the "other guy" ... one day it WILL happen to you if you are not taking the proper precautions, especially with passwords.

Free Credit Card Processing Merchant Accounts Do Not Exist

Posted on Fri, Jun 27 2014 @ 07:07 AM

As you are browsing the internet for resources on how to accept credit cards for your business, you may stumble upon an ad that looks something like this:

free merchant account

Regardless of how many times you have seen an ad like this on Google, these “Free” credit card merchant accounts don’t exist.  When processors advertise “free merchant accounts,” they are usually referring to equipment or application fees.  All businesses have to pay interchange fees to card-issuing banks, assessments to the card brands and a markup of some sort to the processor.  Therefore, it can’t be entirely free.  Don’t waste your time looking for a completely free merchant account; instead use Novera Payment Solutions which offers a unique transparent pricing model unparalleled in the merchant services industry.

Understanding Credit Card Fees

Most processors still prefer to use tiered or a form of cost plus pricing in order to preserve the highest profit margins on merchant accounts.  Understanding these pricing forms is key in determining if your paying more than you should be for your merchant account.  Twice a year, the credit card brands review and adjust their transactional costs and pass them along to the processors.  In turn, the processors use this as an opportunity to raise the entire expense for the merchant.  Ultimately, this is what causes the merchant fee to creep upwards over time.  It’s not simple, it’s not transparent and it’s not fair pricing.

The Novera Approach

Novera Payment Solutions has developed a unique flat fee credit card pricing format that passes along all the direct transactional costs:

  1. Interchange
  2. The processor costs
  3. A small “flat fixed fee” per month depending on the monthly merchant volume (usually between $19.95 and $99.95 per month).  This amount is essentially the gross margin on the account.

Since everyone knows we are in business to make a profit, we are not hesitant to let our merchant clients know what a reasonable profit margin will be.

Over time, the savings can actually increase because unlike the “tiered” and/or other forms of cost plus pricing structures, our program only raises the one line item that is affected rather than increasing each tier when the credit card brands change their rates.  This is the only true transparent way of offering merchant processing.

In most cases, Novera Payment Solutions also offers the option of either “Next Day” or “Weekend Funding,” and always with “Gross Deposits.”  Unlike many processors who deduct their rates/fees daily from your deposits, fees for our services are not collected until the month after the month you have been processing.  This means you get your money faster and it’s easier to reconcile with your bank statements.

QuickBooks Users No Longer Required to Use Intuit for Credit Card Processing

Posted on Wed, May 28 2014 @ 10:37 AM

For years, QuickBooks users were forced to use Intuit credit card processing services if they wanted to integrate their credit card processing with their QuickBooks software.  Based on CardFellow research, they found Intuit's credit card processing charges to be 40% - 50% greater than the rates businesses receive in the free marketplace.

Intuit's Quickbooks accounting software makes it possible for  their users to process and record credit card transactions in one easy step, but until recently,  this convenience came with a very big price because Intuit monopolized the capability, enabling them to charge whatever they wanted. Enabling competition from other credit card processors would drive processing costs down, so the Intuit basically designed Quickbooks so it will only work natively with Intuit's own credit card processing service.

Good News for QuickBooks Users!

In spite of Intuit's efforts to lock out other processors, software companies created plug-ins that serve as a work-around. This enables businesses to install a plug-in on their QuickBooks software and thereby offer credit card processing for Quickbooks through other providers.

QuickBooks Integrated Credit Card Processing

Introducing InstantAccept for QuickBooks

InstantAccept provides an plug-in that integrates with QuickBooks®, enabling you to process transactions as the point of sale either online or via a mobile device or tablet.  Customers can pay using any method they'd like: cash, credit or debit cards, ACH, electronic check or Check21.  Without even opening QuickBooks®, business owners can assign payments to an invoice or customer.  The seamless, time-saving, two-way data exchange allows the data  created in InstantAccept to automatically generate a corresponding record in QuickBooks®.

Novera Integration

How to Setup a YouTube Channel for Your Business

Posted on Thu, May 15 2014 @ 04:33 PM

Online video is seeing massive growth presenting digital marketers with a new way to reach their consumers, pulling on their heartstrings and entertaining them like never before.  In the United States, 89 million people are going to watch 1.2 billion online videos today. Unbelievably, only about 24 per cent of national brands are using online video to market to consumers.

YouTube for Business

It's time to jump on the video bandwagon.  If you don’t know where to start when it comes to video marketing, we’ve put together these steps to creating a business YouTube Channel.

Create a Google Account
If you don’t already have a Google account you will need to create one.  Your YouTube account will automatically link with a Google+ account, so if you already have a business Google+ page, be sure to use the same email address for your YouTube account set up.  Once you are logged into your Google account, navigate your way to www.YouTube.com.

Create a YouTube Channel
Once you make your way to YouTube, you should see your name in the top right-hand corner, showing that you are logged into your Google account.  Click on your name and a menu will drop down.

You will have the following two choices:

I don’t have a Google+ business page. Click on “My Channel” and a prompt will come up for you to create a new YouTube channel.  At the bottom you should see where it says “To use a business or other name, click here.”  You will then be asked to Name Your Channel and select which category it best fits under.  Then click “Done.”

I already have a Google+ business page.  Click on “Switch account” and you should see your business Google+ page pop up in a dropdown box.  Click on your business name and a prompt should appear to create a channel for the name of your business.  Click “Ok” to get started.

Customize Your New Channel
You will want to start by adding some Channel Art.  You can add a photo across the top (similar to a Facebook cover photo) and you can also add a channel icon (similar to a profile picture).  To do this you will need to click on the small "pencil" icon in the corner of either the icon box or the channel art box.  You will also see the option to edit links.  This is where you can add links to all of your other social media channels and your website if you want.

Add Your Business Information
Click on “About” under your Channel Name. You will see here that you can add a channel description so people know what you business is and what people should expect to see on your channel.

Start Uploading Videos
You are now ready to start uploading videos.  If you already have some, great!  If not, there are many different online programs out there such as http://www.Animoto.com that you can use to create videos from photos that you have.

Now you can start using YouTube to show off your expertise, share knowledge, market your products or services and connect with customers, colleagues and prospects.  In addition to uploading your own videos, be sure to interact with others on YouTube much like you would on other social media channels.  YouTube is not just a platform for sharing videos, but is one of the most popular search engines and is the third most popular website in the world. That means using YouTube for your business has the potential for not only improving your search engine rankings, but also engaging your current customers and attracting new ones.

QuickBooks makes accounting simple enough that any business owner or employee can do it.  You don’t have to pay a fortune to hire a bookkeeper to do the mundane daily work for you. Basic accounting tasks can be completed in house, and you can have everything ready for your accountant as tax season approaches.
  2. Payroll  and Payroll Taxes Can Be Done In-House
QuickBooks allows you to easily do payroll and payroll taxes yourself rather than having to hire a third-party payroll service.  By cutting out the middle man, you can save money on one of your largest expenses.
  3. Eliminate the Need to Overstock on Pre-Printed Checks
By printing your checks in-house, you save both time and money.  Using good check printing software makes the entire process seamless. You can even modify the checks to match your business, giving it a professional touch.  You will save money by not overstocking pre-printed checks from the bank.
  4. Reporting Helps Identify Issues Before They Get Out of Control
Not only can you see how you are performing in the current year, but you can compare that data to the previous years.  By comparing reports you can easily find any inconsistencies or unusual changes and fix them before they start costing your company money.
  5. Automatic Back-up Capability Saves Time & Money When Your Computer Crashes
It’s happened to us all; you computer randomly implodes and you lose all of your data.  The QuickBooks software allows for easy backup to removable hard drives or cloud storage.  You will save time and money by not having to recreate all of that data.
  6. Tax Documents are a Breeze to Create
When tax season rolls around, you will have all the documents you need to present to your CPA.  Rather than hunting all the information down to give to your CPA, you will be able to quickly hand over the documents saving your CPA time and you money.   It saves you time from filling out the CPA’s questionnaires and saves you money that your CPA would have been charging you to get the answers to those questions.
  7. Credit Card Processing Can Be Integrated to Eliminate Double Entry
Novera Payment Solutions provides an integrated QuickBooks plugin to simplify  and automate credit card processing, as well as the tasks associated with accepting credit cards.  The plugin allows you to process transactions at the point of sale; and without even opening QuickBooks you can assign payments to an invoice or customer. The time savings from eliminated double-entry is great, but Novera's flat fee merchant account pricing model is where you'll immediately see the improvement in your busineses bottom line.
