Free Privacy Policy Generator for QuickBooks Documents Users

A good privacy policy is critical for online merchants. If you accept credit cards through your website, you are collecting personal information from your website users. Your online privacy policy informs users about how that information is stored and used.

If you are a QuickBooks Documents user, the Intuit website offers a free privacy policy generator that helps ensure you include all the essential components to protect your business and inform your customers.

It's very easy to use and they offer a PDF or MicroSoft Word version once you've completed the privacy policy generator. The final product is downloadable from your QuickBooks Documents account.

Steps the create your privacy policy:

  1. Go to the Intuit QuickBooks priavy policy generator page.
  2. Select the state in which your business resides.
  3. Provide your company name.
  4. Enter your website address.
  5. Select all of the personally identifable information that your website collects from the list options available.
  6. Select whether you use the personal information to market to the customer after it is collected.
  7. Select whether the website collects log data from the user. In most cases, the answer to this question is "yes". For example, this data might include IP address, browser type, etc. Most web servers collect this data for use in reporting website statistics and analytics.
  8. Select whether you want to include a statement about the users responsibility for protecting their own account information.
  9. Select whether the website uses cookies. (Most do!)
  10. Select whether the website uses clear GIFs, web bugs, beacons or tags. If you aren't sure, check with your webmaster. This is a technique often used to statistical data about the web page.
  11. Select whether the website offers third party services (an affiliate program might be an exmaple of a third party service for an ecommerce site).
  12. Select whether the website will comply with government and law enforcement officials in order to comply with the law.
  13. Login to your QuickBook Documents account to download your new privacy policy.

The screen grab below shows page one of a sample privacy policy that we generated in about 20 minutes (of course, we blocked out the company name). The actual document is approximately 4 pages long and addresses all the major components that an ecommerce privacy policy should include.  It should be noted that the Intuit QuickBooks Privacy Policy generator is not intended to replace legal advice from your business attorney. As will any business documents you create and make available for public use, you should consider having your attorney review them before use.

15 Time Saving QuickBooks Tips

QuickBooks is by far the most popular business accounting software for companies small and large across the USA, claiming nearly 95% of the business accounting market with over 3.7 million users. With that many users, there are thousands of tips out there to help companies save time and be more efficient when using the software. 

Here are 15 of our favorite QuickBooks tips!

1. Know essential, basic keyboard shortcuts.

Rather than taking 2-3 clicks to get to a screen to perform a common task, QuickBooks keyboard shortcuts enable you to access screen in QuickBooks with a simple combination keypress. Here are a few of the essntial basic shortcuts.

CTRL-I = Create Invoice
CTRL-N = New invoice, check or bill
CTRL-F = Find Transaction
CTRL-W = Write a New Check
CTRL-A = Brings up Chart of Accounts

2. Memorize Recurring Transactions

If you have a transaction that you frequently enter (e.g. recurring bills), you can save time by memorizing the transaction for future use. If you use the transaction on a regular basis (for example, monthly), you can set it up as a recurring transaction when you memorize it. Otherwise, you can use it as needed by entering it from the Memorized Transaction list.

3. Make use of customer notes.

Using the customer notes feature in your client records save you time. Collections calls can be notated, special client requests, and any other communication. Having this information in a central location is invaluable.

4. Make use of the built in field calculator

Simply position your cursor in an amount field, enter a number or highlight the whole number, and simply press a calculating key ( +, -, *, / , %). It's like magic!

5. Make use of the QuickBooks File Manager

The file manager organizes client’s QuickBooks files by type, by year and version. The Password Vault also secures login information, user names and passwords.

6. Use colors to identify accounts easily

If you using more than one checking account, you can change the background color for quick identification of which account you are using. Simply spen the register for a checking account and click "Edit" on the menu, then and select "Change Account Color."

7. Work in multiple windows

Be super productive by using several open windows at once. You can quickly and easily navigate between them by displaying a list of them. Click "View" in the menu, then click "Open Window List."

8. Set QuickBooks to automatically place decimal points

You can save time on data entry by setting QuickBooks to automatically place a floating decimal point when you enter a number. Click "Edit" in the menu, then "Preferences". Select "General", then "My Preferences".  Then check "Automatically place decimal point". Now if you enter 49, it will enter as .49. If you enter 3295, it will enter as 32.95. With this setting enabled, obviously you need to pay special attention to ensure if mean to enter $49, you enter 4900.

9. Use Batch Invoicing

Create invoices in a batch can save you a lot of time, if it makes sense your company. For example, a subscription based service may need to invoice 100 customer $9.95 each month. Using the batch invoicing feature, you can do this all in one step. Go to the "Customers" menu, then select "Create Batch Invoices." 

10. Prepare letters and envelopes for mailing

QuickBooks has a "Prepare Letters and Envelopes" tool offers an a good selection of templates and mail-merge capabilities. This enables you to generate custom letters for customers, vendors, and employees right from QuickBooks.

11. Use "Ask My Accountant"

If you not 100% certain how a transaction should be coded, put it in "Ask My Accountant." You can temporarily house transactions here if they need to be researched, or if you truly need to have your accountant review for proper classification. Set this account up as an "Other Expense" classification so it shows in the Profit & Loss statement.

12. Backup QuickBooks

Always, always, always backup your QuickBooks data file to the cloud. External hard drives or thumb drives are ok, but they can get lost or damaged. Try using DropBox or Google Drive. How is this a time saver? If you've ever had to rebuild a QuickBooks data file, you know!

13. Personalize Your QuickBooks Icon Bar

Every business is unique. At the top of your screen, QuickBooks has an icon bar that gives you quick access to a variety of tasks. You can edit the default icons in this tool bar. Add or remove icons to suit the needs of YOUR small business.

14. Use the right-click feature for quick access

From within various QuickBooks screens, you can right-click your mouse to get quick access to relevant menus. It can definitely be quicker to access a feature you need by right-clicking to bring up the menu, than to use the toolbar and main QuickBooks menu.

QuickBooks Users No Longer Required to Use Intuit for Credit Card Processing

For years, QuickBooks users were forced to use Intuit credit card processing services if they wanted to integrate their credit card processing with their QuickBooks software.  Based on CardFellow research, they found Intuit's credit card processing charges to be 40% - 50% greater than the rates businesses receive in the free marketplace.

Intuit's Quickbooks accounting software makes it possible for  their users to process and record credit card transactions in one easy step, but until recently,  this convenience came with a very big price because Intuit monopolized the capability, enabling them to charge whatever they wanted. Enabling competition from other credit card processors would drive processing costs down, so the Intuit basically designed Quickbooks so it will only work natively with Intuit's own credit card processing service.

How to Setup a YouTube Channel for Your Business

Online video is seeing massive growth presenting digital marketers with a new way to reach their consumers, pulling on their heartstrings and entertaining them like never before.  In the United States, 89 million people are going to watch 1.2 billion online videos today. Unbelievably, only about 24 per cent of national brands are using online video to market to consumers.

It's time to jump on the video bandwagon.  If you don’t know where to start when it comes to video marketing, we’ve put together these steps to creating a business YouTube Channel.

Create a Google Account
If you don’t already have a Google account you will need to create one.  Your YouTube account will automatically link with a Google+ account, so if you already have a business Google+ page, be sure to use the same email address for your YouTube account set up.  Once you are logged into your Google account, navigate your way to www.YouTube.com.

Create a YouTube Channel
Once you make your way to YouTube, you should see your name in the top right-hand corner, showing that you are logged into your Google account.  Click on your name and a menu will drop down.

You will have the following two choices:

I don’t have a Google+ business page. Click on “My Channel” and a prompt will come up for you to create a new YouTube channel.  At the bottom you should see where it says “To use a business or other name, click here.”  You will then be asked to Name Your Channel and select which category it best fits under.  Then click “Done.” 

I already have a Google+ business page.  Click on “Switch account” and you should see your business Google+ page pop up in a dropdown box.  Click on your business name and a prompt should appear to create a channel for the name of your business.  Click “Ok” to get started.

Customize Your New Channel
You will want to start by adding some Channel Art.  You can add a photo across the top (similar to a Facebook cover photo) and you can also add a channel icon (similar to a profile picture).  To do this you will need to click on the small "pencil" icon in the corner of either the icon box or the channel art box.  You will also see the option to edit links.  This is where you can add links to all of your other social media channels and your website if you want. 

Add Your Business Information
Click on “About” under your Channel Name. You will see here that you can add a channel description so people know what you business is and what people should expect to see on your channel. 

Start Uploading Videos
You are now ready to start uploading videos.  If you already have some, great!  If not, there are many different online programs out there such as http://www.Animoto.com that you can use to create videos from photos that you have.

Now you can start using YouTube to show off your expertise, share knowledge, market your products or services and connect with customers, colleagues and prospects.  In addition to uploading your own videos, be sure to interact with others on YouTube much like you would on other social media channels.  YouTube is not just a platform for sharing videos, but is one of the most popular search engines and is the third most popular website in the world. That means using YouTube for your business has the potential for not only improving your search engine rankings, but also engaging your current customers and attracting new ones.
